What is an assessment on Gymkee?

An assessment is a structured form you send to your clients to collect progress data at regular intervals. Each assessment can include body measurements (weight, circumferences, custom metrics), feedback questions (open text, rating out of 10, yes/no), and progress photos (face, back, profile). When a client completes an assessment, Gymkee automatically marks it as done and notifies you. You can then review the results, compare them against previous assessments, and use the Context tab to see what happened between the two check-ins.

Assessments live under Clients > Assessments in the Gymkee sidebar. The main screen has two tabs: All (your assessment list) and Templates (your reusable templates).

How do I create an assessment template on Gymkee?

You create templates from the Templates tab, then reuse them every time you assign an assessment. Each template defines what data your clients need to provide.

  1. Navigate to Clients > Assessments in the sidebar

  2. Click the Templates tab

  3. Click Create Assessment (top-right button)

  4. Fill in the template name and an optional description (rich text editor, visible to the client)

  5. Configure the three content sections below, then click Create

Progress Photos

Toggle the Photos section on, then check which angles you need:

  • Face (front-facing photo)

  • Back (rear-facing photo)

  • Profile (side-facing photo)

Each selected angle becomes a required photo when the client completes the assessment.

Measurements

Toggle the Measurements section on. You can select from your existing measurement library or create new ones. Measurements are grouped into three types:

  • Mass: weight, fat mass, etc. (displayed in kg or lbs depending on your unit preference)

  • Length: chest, waist, arm circumference, etc. (displayed in cm or inches)

  • Arbitrary: custom numeric fields like energy level, pain score, or any other value you want to track

Use Select all to include every measurement, or pick individual ones. You can also click Add a measurement to create a new custom measurement, or use Manage to edit and delete existing measurements.

Questions (Feedbacks)

Toggle the Questions section on. You can select from your existing question library or create new ones inline. Three question types are available:

  • Yes/No: the client taps Yes or No

  • Rating (Note): the client selects a score from 0 to 10 on a slider

  • Text (Comment): the client writes a free-text response

Selected questions can be reordered by drag-and-drop. Click Add a question to create a new question inline, or use Manage to edit titles, change question types, and delete questions.

How do I assign an assessment to a client on Gymkee?

You assign assessments from the main Assessments screen. Gymkee supports assigning to multiple clients at once and scheduling recurring assessments.

  1. Navigate to Clients > Assessments

  2. Click the Assign button (top-right, primary button)

  3. In the modal that opens, select a template from your library

  4. Select one or more clients to assign to

  5. Configure the recurrence rule: choose a start date, frequency (weekly, biweekly, monthly, etc.), and optionally set an end date or a number of occurrences

  6. The right side of the modal previews the upcoming scheduled dates

  7. Click Submit to assign

Each client receives a notification on Gymkee's mobile app when an assessment is due. Scheduled assessments appear in the assessment list with a Scheduled status.

How do I review a completed assessment on Gymkee?

When a client completes an assessment, it appears in your Clients > Assessments list with a Done status. Unread assessments are highlighted and shown first by default.

Filtering and navigation:

  • Use the filter cards at the top to toggle between Unread and All assessments

  • Use the dropdown filters to narrow by Status (Done, Scheduled, Missed), Read status, or Client name

  • Use the search bar to find assessments by name

  • Click any assessment row to open the detail view

Assessment detail view:

The detail view shows the client's name and avatar at the top, with an unread badge if you have not reviewed it yet. Gymkee automatically marks the assessment as read when you open it. Four tabs organize the data:

1. Summary tab

The default view. Displays all data from the completed assessment in three sections:

  • Progress Photos: face, back, and profile photos in a grid. Click any photo to open a full-size comparison view. If a comparison assessment is selected, photos from both assessments are shown side by side.

  • Measurements: a table showing each measurement name, its current value, and (if comparing) the change between assessments. Increases appear with a red badge, decreases with a green badge.

  • Questions: each question and the client's response. Text answers are shown as-is. Rating answers display a progress bar out of 10. Yes/No answers show a green check or red X badge.

2. Context tab

Available only for completed assessments. This tab surfaces all relevant data from the period between the previous assessment and the current one, giving you a complete picture of what happened.

The Context tab includes the following sections (each appears only when data is available):

  • Workouts: completion rate (color-coded: green at 75%+, amber at 50-74%, red below 50%), total training volume, a daily volume bar chart, and a clickable list of every workout with status badges (Done, Missed, Scheduled), duration, exercise count, and calories burned.

  • Nutrition: average daily calorie intake, average macros (protein, carbs, fat), average calories burned, goal comparison (surplus, deficit, or on target), and a day-by-day breakdown table.

  • Health Metrics: average sleep duration, average daily steps, average active calories, and average resting heart rate. Each metric includes a bar chart showing daily values and a percentage change badge compared to the previous period (if available).

  • Habits: overall habit completion rate (color-coded), number of habits tracked, and a per-habit breakdown with individual progress bars and completion percentages.

  • Health Alerts: any health alerts flagged during the period.

3. Progress Pics tab

A dedicated photo comparison view. Select a previous assessment from the dropdown to compare photos side by side. Photos support zoom and pan for detailed inspection. Below the photos, you can see measurement overlays showing the body weight at the time of each assessment.

4. Measurements tab

A deep-dive into measurement trends. Select a specific measurement from the dropdown to see:

  • Current vs. Previous: stat cards showing the current value, the compared or previous value, and the delta

  • Trend chart: an area chart showing the measurement over time, with date range filters (1 week, 2 weeks, 1 month, 3 months, 1 year, all)

  • Statistics: total change, lowest recorded value, and highest recorded value

  • History table: every recorded value for this measurement across all assessments, with change badges and a Compare button on each row

Comparing assessments:

Use the Compare with dropdown at the top of the detail view to select a previous assessment. This affects all tabs: the Summary tab shows deltas, the Progress Pics tab shows side-by-side photos, and the Measurements tab adjusts its chart range.

Navigating between assessments:

A sticky bottom bar lets you move to the previous or next assessment without going back to the list. It also shows the unread count and lets you jump to the newest unread assessment. On the right side, a Send message button opens an inline chat panel to send coaching feedback directly to the client.

How do I complete an assessment for a client on Gymkee?

If a client cannot complete their assessment themselves (for example, during an in-person session), you can fill it in on their behalf.

  1. Navigate to Clients > Assessments

  2. Click Complete Assessment (the button with a "New" badge)

  3. In the modal, follow the four steps:

    • Step 1: Select a template, a client, and a date

    • Step 2: Upload progress photos (face, profile, back) for each required angle

    • Step 3: Enter measurement values (Gymkee converts units automatically based on your preference)

    • Step 4: Fill in feedback answers (toggle yes/no, drag the rating slider, or type free text)

  4. Click Submit

Gymkee creates the assessment, uploads the photos, and marks it as completed with the date you selected.

Tips

  • Schedule recurring assessments (every 2 or 4 weeks) so your clients build a consistent check-in habit. Monthly assessments are the most common frequency for body composition tracking.

  • Use the Context tab before writing feedback. It saves you from asking "Did you do your workouts?" because you already see the answer with exact numbers.

  • Compare assessments to spot trends. A single data point is noise; two or more tell a story. Always look at progress over multiple assessments.

  • Keep templates lean for new clients. Start with weight, a waist measurement, and a face/profile photo. Add more measurements as the coaching relationship matures.

  • Use the inline chat from the assessment detail view to give immediate, contextual feedback while the data is fresh.

Common Mistakes

  • Creating too many measurements in one template. Clients lose motivation when assessments take too long. Stick to 4-6 key measurements per template.

  • Not reviewing assessments promptly. Clients notice. Use the Unread filter to process new assessments in batch. The bottom navigation bar makes it fast to go through them one by one.

  • Ignoring the Context tab. The raw numbers from an assessment only tell part of the story. The Context tab shows workout compliance, nutrition adherence, sleep quality, and habit consistency, which explain why the numbers moved.

  • Forgetting to set a recurrence. If you assign a one-time assessment, you will need to manually assign the next one. Set up a recurrence rule to automate the schedule.

  • Using arbitrary measurements for things that should be mass or length. Mass and length types support automatic unit conversion (kg/lbs, cm/inches). Arbitrary does not convert units, so only use it for unitless values.

Troubleshooting

Problem: A client's assessment shows as "Missed"

Why it happens: The client did not complete the assessment before the scheduled date passed. Gymkee automatically marks overdue assessments as Missed.

How to fix it: You can complete the assessment on the client's behalf using the Complete Assessment feature. Select the original template, the client, and the date the assessment was due.

Problem: The Context tab is empty

Why it happens: The Context tab needs at least two assessments to compute a period. If this is the client's first assessment, there is no previous date to define a period. The tab also requires data (workouts, nutrition, health data, or habits) to exist for the period.

How to fix it: Wait until the client completes their second assessment. The Context tab will then show data from the period between the first and second assessment. For health data to appear, the client needs a wearable connected to Gymkee (Apple Health or Google Health Connect).

Problem: Measurements show in the wrong units

Why it happens: Gymkee displays measurements in your preferred unit system (metric or imperial), which is set in your account settings. The raw data is always stored in metric (kg, cm).

How to fix it: Go to your account settings and verify your unit preference. All measurements in assessments will display in your chosen system automatically.

Problem: I cannot find a specific assessment

Why it happens: The default view filters to Done assessments and Unread status. If the assessment is Scheduled, Missed, or already Read, it may be hidden by the active filters.

How to fix it: Click the All assessments filter card to remove the read/unread filter. Then use the status dropdown to select All statuses. You can also search by assessment name using the search bar.
